Competition Guidelines

 

 

 

Through HISA’s membership with BUCS and Scottish Student Sport (SSS), students are eligible to compete in their local and national events. This is a fantastic opportunity to put your skills to the test, meet fellow students from all over the country and even grab yourself a medal!

Please carefully read through these guidelines and contact our HISA Activities at HISAactivities@uhi.ac.uk prior to entry, or if you have any questions.
 

  1. Eligibility
    1. You must be a registered student at UHI for the current academic year.
    2. You must meet the eligibility criteria set out by BUCS or Scottish Student Sport- this may differ depending on the sport.
    3. For most sports you must be 16+, some sports may require you to be 18+ to compete.
       
  2. Finding a competition:
    1. Sign up for a Playwaze account and put your institution as ‘UHI.’
    2. Search through BUCS sports--or select the ‘Scottish Student Sport’ network to search through the SSS sports
    3. Join the community for your relevant sport
    4. Click on the ‘What’s On’ tab to view events for your sport
       
  3. Entering a competition (individuals):
    1. You must fill out the HISA competition entry form prior to entering the competition (Competition Entry Request Form). Please ensure you fill it out in full and double check the cost of entries.
    2. To enter an event, sign up for the Playwaze system using your student email.
    3. If your entry requires additional approval, please let HISA Activities know in plenty of time before the deadline (at least 10 working days).
    4. The initial cost for the competition will come to HISA which we will then pass on to you. Once the cost is received by HISA, you will be invoiced by HISA for the cost of the entry. This invoice must be paid in full before you are approved to compete. Deadlines for entries are set by BUCS/SSS- late entries may not be accepted.
    5. A risk assessment must be completed ahead of the competition and sent to HISA Activities in order to be covered by insurance.
    6. Repeated failure to complete these steps may bar you from future competition.

       
  4. Entering a competition (teams):
    1. You must fill out the competition entry form prior to entering the competition (Competition Entry Request Form). Please ensure you fill it out in full and double check the cost of entries.
    2. Check the entry conditions to see if your team needs to be affiliated to the students’ association and/or the relevant national governing body if required. Ensure that you are able to pay the fees to the national governing body.
    3. The initial cost for the competition will come to HISA which we will then pass on to you. You will then be invoiced by the HISA for the cost of the entries. This invoice must be paid in full before you are approved to compete.
    4. The team captain must ensure every member of the team is signed up on Playwaze.
    5. A risk assessment must be completed ahead of the competition and sent to HISA Activities.
    6. Failure to follow these steps may bar you for your team from future competition.
       
  5. Kit and equipment:
    1. Where possible, compete in official university team kit/colours.
    2. To loan the UHI/HISA kit, please contact your local HISA team to make arrangements.
    3. You will be required to sign the kit loan form, agreeing to the terms and conditions.
    4. You can wear your own shorts, socks and shoes.
    5. Any lost or damaged kit must be paid for by the student or team.
    6. Kit must be washed and returned immediately after the competition.
    7. Required equipment (eg. rugby boots, gum shields, riding hats etc) must be to current safety standards and comply with competition guidelines.
    8. Safety checks or equipment inspections may be required at the competition.
    9. Any borrowed equipment must be replaced if lost or damaged at a competition.
       
  6. Conduct:
    1. You must represent your university with integrity and sportsmanship.
    2. You must adhere to the student code of conduct.
    3. Respect match officials, volunteers, staff and fellow competitors at all times.
    4. There will be zero tolerance for abusive, discriminatory or aggressive behaviour.
       
  7. Travel and accommodation:
    1. Travel and accommodation are arranged at the expense of the student/team.
    2. The students’ association is sadly no longer able to provide minibuses for teams due to financial constraints.
       
  8. Media and photography:
    1. Photography consent will be assumed unless told otherwise. If you do not wish to have your photograph taken, please inform HISA prior to the competition and any team captains or leaders, as well as the event organiser on the day.
    2. Any photographs and videos may be used for promotional or archival purposes.
       
  9. Fines:
    1. If you receive any penalty fines at a competition (such as yellow and red cards) you are responsible for paying these fines to HISA immediately. Failure to do so will make you ineligible to enter future competitions until the fine is paid. Repeated incidents may bar you from future competition.
    2. You may pay fines by contacting HISA Finance, HISA Activities, or through your team’s manager.
    3. HISA grant money cannot be used to pay fines.
       
  10. Post competition:
    1. Please send us an email to let us know how you got on, and any pictures from the competition we can share on our socials to celebrate your success!
    2. Inform HISA of any fines that have been incurred.
    3. Wash and return any kit borrowed.
